How to add or edit a Prior Authorization to an invoice in NikoHealth?

If you need to add or edit a prior authorization directly on an invoice (claim) in NikoHealth, follow these steps:


1. Locate the Invoice

  • Navigate to the specific invoice (claim) you need to work on within NikoHealth.

2. Enter Edit Mode

  • Click the blue + button from the action menu located in the upper right-hand corner of the invoice page.

  • Select Modify from the dropdown menu. This will take you into edit mode for that invoice.

3. Find the Prior Authorization Field

  • In edit mode, locate the Prior Authorization field on the invoice. This field allows you to either select an existing authorization or enter a new one.

4. Select an Existing Authorization (if available)

  • If a prior authorization has already been logged in the system for the patient, clicking the Prior Authorization field will display a list of available authorizations associated with that patient’s record.

  • Choose the relevant prior authorization from the list to attach it to the invoice.

5. Enter a New Authorization (if needed)

  • If there is no prior authorization available for the patient or if you wish to add a new one specifically for this invoice, you can manually enter the authorization number in the Prior Authorization field.

  • This will allow you to associate the new authorization with this particular claim, even if it wasn’t previously logged in the system.

6. Save Your Changes

  • After selecting or entering the authorization number, click the blue check mark in the upper right-hand corner to save your changes to the invoice.

7. Submit the Claim

  • Once the prior authorization is successfully attached, the claim is ready to be submitted to the payer.


Key Notes:

  • If the prior authorization is already associated with the patient, selecting it from the available list saves time and ensures consistency.

  • Manually entering a new authorization number is helpful when working with claims that require an authorization not yet recorded in the patient’s file.

  • Always ensure that the prior authorization details are accurate before submitting the claim to avoid payment delays or denials.

By following these steps, you can easily manage prior authorizations on invoices, ensuring that claims are processed efficiently and accurately within NikoHealth.
