How to create/add a new schedule for a team member & patient service centers

Adding a schedule to a Team Member

Click on the management tab on the top of the Niko Health webpage.

Select “Team” from the left side menu and then “Schedule” to access the blank schedule.

Type in your team members name in the search box and select the appropriate employee whose schedule you would like to create. 

Once you have selected your team member you can begin adding a schedule to them. You can scroll through the calendar to find the dates you need or under “jump to” you can search for a specific date. 

On your selected date, click on the green clock symbol with the “+” sign to begin adding time to their schedule.

A pop up will appear, choose “Add working hours” 

A new pop up will appear and this is where you will enter the details of the time you need to add to the team members schedule. Fill in all the required areas (marked with an asterisk), you will also want to confirm the date as well as the start and finish time. *The right pointing arrow will pull the Departure Address into the Arrival Address area if necessary* Select Add to save. 

Once saved you will see that the day you added becomes highlighted green within the time frame specified.

After you have created the schedule for the entire week, you can “copy” the schedule to the following week and the week after that and so on quite easily. Locate the “Copy to” button on the top right and click it.

A new window will pop up and give you a few different choices. “Following week” will copy the schedule to the next week, “Second Following Week” will skip one week and copy to the next. “Skip” is how many weeks to skip copying the schedule to, “take” is how many weeks to copy, and “Repeat” is how many weeks you want it copied to. On a schedule where it’s the same weekly this is the easiest choice if nothing changes, an example would be “Skip 0, Take 1, Repeat 4” this will copy the week you made for the whole month/4 weeks.

Now that you have your personnel on the schedule you can begin adding appointments, however if the appointment is taking place at a service center/clinic there are a few more steps to follow. 

Adding a schedule to a service center

First on the left hand drop down menu, click on “Patient Service Centers”, then “Schedule” .

Find the appropriate service center

Now you will add a schedule to the service center just like we did for the team member. Find the green clock with the “+” sign to add the time frame. 

A new pop up will appear where you will enter the start and end time and you can also chose to have it repeat the next day, the whole week, or specific days. Click Apply to save. 

You will be able to see the time added on the days in green. 

Now you will need to assign the team member who will be at the service center by clicking on “Appoint Team Member” 

A new pop up will appear, you will need to enter the team member and ensure the date and times are correct. You are also able to repeat it onto additional days with the options listed. Once entered click add to save. 

Now you will be able to see the team member attached to the service center.
