Issuing returns and managing the refund process

You can create and manage your returns, and refund payments to your customers from different screens in NikoHealth, based on whatever workflow you're in. You can work the return/refund directly from the Order, or you can leverage the dedicated "Refunds" tab under the Billing screen.

Issuing a Refund from an Order

To issue a return/refund from a specific Order, navigate to the Order. From the Order screen, click the blue NikoHealth action button and select Issue a Refund.

This will bring you to the refund creation screen with this Order's details populated.

Here you can create the refund and restock the items if needed.


Issuing a Refund from the Billing Tab

The Billing Tab in NikoHealth includes a dedicated space for Refunds.

The Refunds queue lists all existing refunds in NikoHealth. From this screen, you can create a new refund by clicking on the blue NikoHealth action button and selecting Issue a Refund.


Choosing Items to Refund/Restock

You can refund an entire Order, or select specific items for refund. You can also refund an order without restocking the item.

If you want to add items from a different Order to this refund, click the Add Order button. A window will pop up that lists all of the Patient's previous Orders. Select any additional Orders you want to add to the return/refund.

After adding the correct items to the refund, enter the refund details. Include any taxable amount and item refund amount you are issuing.

Restocking Items

If you are restocking the item, you can check the box to Restock Item and select the warehouse location. You can restock any item that has been transferred from inventory. In addition you can restock non-inventory items such as drop ship items as long as they are not serialized or maintained with lot numbers in your catalog.

Refund Status

You can set the status of the refund/return to New or Completed.

  • If the refund/return are completed at once, you can set the status to Completed.

  • If the refund process will be handled at a separate time, you can leave it in a New status to be worked on in the future.


Processing and Tracking Refunds

The refund workflow is used independently of Invoicing. The refund issued is not intended to be posted against Invoices and it is not recommended that any additional steps be taken on prior payments posted to the applicable Invoice.

For month end reporting, you can track refunds issued using the Refund Report available under Reports. This Report will provide the detail needed to adjust returns from month end sales revenue.

You can track sales revenue using the Revenue Summary Report for a specific period. You would then offset these sales with the total refunds issued for this period to get your net sales.
