Create a Patient from a Fax

Create a new Patient from the Fax Inbox

Overview

If you’ve received a fax for a new Patient, you can quickly add that Patient to NikoHealth right from your NikoHealth Fax Inbox. This will create a Patient record in the system, but with limited information. Therefore, all new Patients added via the Fax Inbox will have a Hold status. This makes it easy to find them in the system so that you can return to the Patient record and fill in more comprehensive information.


Create a Patient from a Fax

First, select Inbox from the top menu. The Incoming subtab will automatically open to your Fax Inbox queue.

The Inbox queue will give you key information on your faxes including the date and time they were received, fax line information, and the unique Fax ID that's been assigned to the Fax file.

Find the desired fax or faxes you want to work with. Use the filters at the top of the queue if needed. Select the box next to each Fax you're working on.

With the desired Faxes checked, click the NikoHealth Blue Action button to take action on these Faxes.

Select Attach Documents from the menu to attach a Patient record to each of the checked Faxes. needs to be attached to these Faxes.

The Document Management queue will open with a preview of the Fax appearing on the right hand side. The Fax ID will appear at the top.

If you had multiple Faxes selected, they will appear in Tabs on the left side. You can click on each tab to navigate between the Faxes. You can also hover over each Tab to view quick information about that Fax. Note that the unique Fax ID assigned to each Fax will help you distinguish between them, and will appear in the highlighted Tab.

To connect this Fax to a Patient, click the blue Attach Patient button.

The Attach Patient window will appear. Because you are creating a new Patient from this Fax, click the Create New button.

(Note: if you're attaching an existing Patient to this Fax, you can search for the Patient in the "Select Patient" section).

To create a new Patient and attach that Patient to this Fax, fill out the required information (noted with a *).

Document Type

All Documents must be assigned a Document Type which categorizes what kind of Document this is. NikoHealth comes with a set of Document Types, but users with appropriate permissions can create additional Document Types for your organization. Document Notes

Any additional information that should be saved with this Fax and associated with the Patient Profile you're creating can be included here. Document notes are not required.

When you've completed all the information needed, click Save.

The new Patient will be created in NikoHealth with the Fax attached as a Document. If you have multiple Faxes you're working, the Tab will indicate a Patient has been attached, and the next Tab will be active.


Completing the New Patient Record

After attaching a new Patient to a Fax, a limited Patient record will be created in NikoHealth. Because the Patient record will be missing necessary information, they will automatically be given a Hold status. You will now have to add other relevant information to the Patient's Profile to make them an Active Patient.

Navigate to the Patient queue. If you forget the Patient's name, you can sort the queue by Created to easily see your most recently created Patient records. You can also filter by Patient Status and look through Patients with a Hold status.

Click on the correct Patient and complete the required information in the Patient Profile.
