Inbox Fax Management

Learn how to easily manage faxes in your inbox

Streamline and simplify the process of managing faxes without having to worry about messy processes. With our advanced inbox features, you can view, file and even assign out tasks directly from the inbox.

To get started you will need to make sure the Inbox feature is enabled and you have an electronic fax provider configured. To enable this functionality please contact integration@nikohealth.com.

The Inbox can be accessed by clicking on the Inbox tab on the top menu.

Here you will have access to:

  • Incoming

    • All incoming faxes will appear here

  • Outgoing

    • All outgoing faxes will appear here

  • Trash

    • Any faxes that are deleted from the incoming page will appear here

Managing Incoming Faxes

In the incoming fax queue you will see all incoming faxes. To preview a fax click on the eye icon in the last column of the fax you wish to view. You can work with one or multiple faxes by clicking on the box to the left of a fax. Once selected you can click on the blue + button on the upper right hand corner to select your action.

  • Attach Documents

    • You can electronically file all pages or a page range of a fax to a patient document record

    • Create a task for someone on your team to work a document

  • Mark as unread

    • Unread faxes display in bold font so that you can identify what may need to be touched

  • Add Tags

    • You can add tags to quickly identify faxes based on your organizational workflows

  • Download

    • Download the fax to your computer

  • Delete

    • Delete the fax from the incoming queue ( this will move this fax to the trash)

ATTACHING A DOCUMENT:

To attach a document to a patient record you can select one or multiple faxes by clicking on the checkbox next to the fax. Once you select the faxes you are going to click the "Attach documents" option from the blue + button plus sign which will bring you to the document management workflow. From here you can create a task or attach the documents.

If you choose "attach patient" it will bring you to a a new screen where you can select a current patient or create a new patient if needed. You can also select "create task" to create a task for this document. Once complete hit SAVE.

Managing Multiple Fax Lines By Location or Departments

To enable your team to work faxes for a specific location or department you can;

assign one or multiple fax lines to your organization locations and create an Alias (name) for the fax line. (Remember the inbox feature needs to enabled with your fax lines). For example, if you have 3 fax lines at one location for departments such as Intake, Billing, and Authorizations you can add each of those fax lines to the location with desired alias. Once added, you will then see that Alias name in the incoming fax inbox. The filters on top allow you to search by the fax alias or location associated with the fax line.

To do this go to: Management/Organization/Location

  1. Select the location that you would like to add the fax lines

  2. Enter one or more fax lines and alias for the location

You can use the filters to search for faxes by:

  • Fax Line

  • Tags

  • Alias

  • Location

  • Caller ID

  • Fax ID

  • Received Date

OUTGOING FAXES

The outgoing fax queue will provide visibility on all faxes that are sent out of the system and their status "SENT" or "FAILED". If a fax has failed you can choose to resend it directly from here.

TRASH

Any faxes that are deleted from the incoming page will appear here and can be restored back into the incoming fax queue by clicking on the +blue button and Restore.
