Overview
The Orders Tab in NikoHealth is where you'll find the Order Queue, which gives you a summary view of orders in the system, including key details about each order.
Filters Ribbon
At the top of the Order Queue is the Filters ribbon. You can search and filter all orders based on specific criteria.
Custom and Saved Filters
The "Filters" button in the ribbon allows you to create and save Custom Filters for Orders. Click "Add Filter" to build your custom filter by things like Delivery Type, Order Type, Priority, and more. The full list of options is shown below.
For more information on Creating and Saving Custom Filters, please visit our help article on that topic.
Order Queue Details
Below the Filters ribbon, you'll find the column headings for the Order Queue.
You can sort any column by clicking on the column header.
If you want to view any order, simply click in any column within that order.
You can also select one or multiple orders to take action by clicking in the box to the left of the order.
Status
When orders are created in NikoHealth (either manually or as a re-order that's been automatically generated) they will be put into a specific status. The status will be shown in the Orders Queue. Below are the different order statuses and their criteria.
To Learn how to manually update a status/cancel an order, click HERE.
Playbook
Playbooks are guides for achieving objectives. A playbook breaks down a larger objective into specific tasks, and provides a step-by-step guide on how to complete those tasks. Playbooks will automatically appear on orders where a payer rule is defined. For more information on Playbooks, go to our help article about Playbooks on Orders.
In the Order Queue, you can quickly and easily view if an Order has a Playbook, and if so, you can see the progress of that order relative to the steps outlined in the Playbook. Click on the Playbook section of an order to view the entire Playbook.
Tasks
Patients, orders, and invoices can have tasks associated with them. If you are brand new to Tasks in NikoHealth, please refer to the collection of help articles on Tasks.
Tasks can be linked to one or more orders. This association lets you quickly jump to the orders and ensures the task is visible to anyone viewing the order.
To expand the Tasks associated with an order, click the carrot.
After you expand the Tasks for an order, you'll be able to view and edit current tasks, and add new tasks.
To add a new task, start typing in the "Add new task" line.
Below the line for adding new Tasks, you'll see a list of current Tasks associated with this Order. Hover over the name of any Open Task to expand it.
The Task list for the Order will include important details about each Task, including:
Description: A summary of the task
Category: You can create custom Categories for your tasks to help you organize and group similar tasks when running reports. Task Categories need to be set up ahead of time, before creating a task, so that the categories you create are available. For more information on creating Task Categories, visit our help article.
Priority: You can assign a priority to the task of High, Medium, or Low. Colored flags will be associated with the each priority for quick viewing.
Assignee: Tasks can be assigned to individuals or teams. The initials of the Assignee will be listed but you can hover over to view the full name.
Created By: This will identify who created the task. The initials of the Task creator will be listed but you can hover over to view the full name.
Actions: Clicking the blue "Edit" button under the "Actions" column will let you Edit the task.
Cancel: If you are in the process of creating a new Task and wish to cancel it, you can click the "Cancel" button. Below that, within existing tasks, you can click the circle-check icon to mark the Task as complete.
Audit/Delete Orders
In the Order Queue, to the right of the Tasks carrot, hover to see options on how to Audit or Delete the order.
