RingCentral Fax Integration

Connect RingCentral to NikoHealth through integrations

Overview

The RingCentral integration allows you to connect your fax service to NikoHealth so inbound faxes are automatically delivered to your Inbox. This eliminates manual uploads and streamlines document intake workflows.

This setup requires:

  1. Creating a RingCentral connection in NikoHealth

  2. Generating and adding a JWT (token) from RingCentral

  3. Configuring a user extension with fax permissions

Before You Begin

Ensure you have:

  • Admin access in NikoHealth

  • Access to RingCentral Admin Portal

  • A RingCentral user with an assigned fax number

  • Permissions to generate a JWT token in RingCentral Developers


Create the RingCentral Connection in NikoHealth

1- Create new integration in NikoHealth

Go to: Application Settings > Integrations

This brings you to your Integrations queue. Choose Inbox.

In the Inbox section, click Add Connection.

The new connection panel will open. Give the connection a name (usually "Ring Central" and choose Ring Central as the connection type.

2- Generate Token in RingCentral

Once Ring Central is selected as the connection type, a RingCentral URL will automatically populate.

Click the link to be taken to RingCentral's Developer page (you will have to log in). This is where you'll generate the token that NikoHealth requires.

Enter a Label (recommended: NikoHealth). Confirm NikoHealth is listed under Provider. Then click Create JWT.

The page will refresh and display your JWT.

Click the copy icon to copy the JWT.

Navigate back over to the NikoHealth Ring Central integration panel. Paste the copied JWT into the token field.

Click the Test button to test the token. A popup box will populate to confirm the token is valid.

3- Add Extension in NikoHealth

NikoHealth requires an extension (number) that points to a specific user in RingCentral. To identify the correct extension that needs to be added to NikoHealth, go to your RingCentral Admin portal at: service.ringcentral.com

Click Manage Users. Under your Users tab, while on Users with Extensions, identify the correct number you'll be using as your DME Fax Inbox.

Add the Extension number from RingCentral to the NikoHealth integration pane.

4- Enable Fax Permissions in RingCentral

In addition to adding the token and extensions to NikoHealth, you must ensure the RingCentral user associated with the extension has the correct permissions setup in RingCentral.

While in the RingCentral Admin Portal, click on the User with the Extension you just added to NikoHealth.

This will expand the Users RingCentral settings. Click the Outbound Calls/Faxes tab. Under the Fax Settings section, toggle the option for Allow this user to access Fax features.

5- Finalize the Integration

Return to NikoHealth, in the integration pane. Ensure the following fields are completed:

  • Connection Name

  • Type = RingCentral

  • Token (JWT) pasted from RingCentral

  • Extension number

Click Test again to confirm validation. If a confirmation box populates, click Enable at the top of the pane and save.

Note: RingCentral updates operate on a 10min cadence. If you want to test sending a Fax and viewing it in NikoHealth, please allow about 10min in between send and receipt.


View and Manage RingCentral Integration

Once integration is properly set up, it will appear in your Fax Integrations queue.

You should see confirmation that the connection is active. Incoming faxes will begin flowing into the Inbox


Troubleshooting

Token Invalid

  • Regenerate the JWT in RingCentral Developers

  • Ensure the full token is copied correctly (no extra spaces)

Faxes Not Appearing

  • Confirm the correct extension was entered

  • Verify the user has fax permissions enabled

  • Ensure the integration is toggled Enabled in NikoHealth

Connection Test Fails

  • Re-check token and extension

  • Confirm RingCentral user setup is complete

  • Retry after re-saving credentials


Notes and Best Practices

  • RingCentral updates operate on a 10min cadence. If you want to test sending a Fax and viewing it in NikoHealth, please allow about 10min in between send and receipt.

  • Use a dedicated fax user/extension for NikoHealth

  • Label JWT clearly (e.g., “NikoHealth Integration”)

  • Periodically verify connection status

  • Monitor Inbox regularly for document processing
